AI Voice Receptionist and Chat Agents

An AI Receptionist That Answers When You Cannot

The call you miss at four in the afternoon is the job somebody else books by five. Legacy Sales Engineering builds a voice receptionist plus website and Facebook chat agents for HVAC, chimney, flooring, gutter, power washing and commercial cleaning companies, all of it writing back to WeekendCRM.

An AI voice receptionist answers your business line when your crew is on a roof, under a house or already on another call. It greets the caller, asks Solution Based Questions, books the appointment on your calendar and writes the whole conversation onto the customer record in WeekendCRM. Legacy Sales Engineering builds and tunes it for home service contractors.

What happens to the call you miss at four?

You are on a roof in Ocala with a meter in one hand and a screwdriver in the other. The phone rings down in the truck. By the time you are back on the ground there is a voicemail, or nothing, because the caller had four other numbers from the same search and yours was the first that did not pick up. That job is already on somebody else’s board.

Contractors rarely lose work because their pricing was wrong. They lose it because a homeowner with a cold house or a chimney that smokes wanted to talk to a person right then, and that person was busy doing the work. A full time front desk costs more than most one and two truck operations can carry, and they still go home at five.

Why do answering services barely beat voicemail?

Most answering services read a script. They take a name, take a number and promise a call back. The homeowner hangs up knowing nothing more than when they dialed, and you get a message slip that says nothing about whether the job is worth driving to. Ask that service what a crown is and you get silence.

An AI receptionist built for your company is a different animal. It knows the trades you work in, the counties you drive to and the ones you do not, and that your hours run Monday through Saturday, nine to eight. It knows which questions separate a real job from a tire kicker, because they came out of your own intake process rather than a call centre template. Answering the phone is the low bar. Knowing what to ask next is the part that makes you money.

What does the AI receptionist actually do on a call?

It picks up on the ring you choose, greets the caller in your company name and tells them plainly that they are speaking with an automated assistant. Then it works the call the way a trained coordinator would. It asks what is happening, how long it has been going on, what kind of property and what part of town. It asks Solution Based Questions rather than reciting a menu, because the point is to understand the problem before anybody talks about sending a truck.

When the caller is a fit, the agent offers real openings from your calendar and books one. When they are clearly not a fit, it says so politely and ends the call. Either way the name, the number, the address and a written record of the conversation land on the customer record in WeekendCRM before you are back in the truck.

Can website and Facebook chat carry the same load?

Yes, and a good number of your buyers would rather type than talk. The website agent sits on every page and opens when a visitor stalls. The Facebook agent answers messages sent to your page, including the ones that arrive at eleven at night after somebody sees the new gutters two doors down. Both run on the same understanding of your business as the voice agent, so a homeowner gets the same answers whichever door they came through.

Chat also catches the people who were never going to call. Somebody comparing three flooring companies on a Sunday will answer four questions in a chat window and never pick up a phone. Those conversations land on the same customer record, in the same pipeline, with the same follow up behind them.

The plan

How do we get this answering your phone?

Three steps. No committee, no six month build, no new software to learn.

Step one

We learn how you already take a call

Shawn pulls apart what happens today. What you ask, what you refuse, which jobs you want more of, which ones you would rather hand off. Twenty five years of selling goes into getting that out of your head and onto paper. The agent is only as good as the process behind it.

Step two

We build the agent and set the rules

Voice on your line, chat on your site and chat on your Facebook page, all pointed at your calendar. We write what it may say, what it must not say, when it hands off to a person and how it introduces itself. Recording and disclosure settings are configured for your situation and confirmed before launch.

Step three

We turn it on and keep tuning it

You get every transcript. When the agent misses something, or a caller asks a question nobody anticipated, we fix it. This is not a box you buy once. It gets sharper every month you own it.

What should the AI be allowed to say about price?

Every contractor asks this inside the first five minutes, and it is the right question. Say nothing about money and callers hang up. Say too much and you have quoted a job sight unseen that turns out to have three stories of scaffolding attached.

So we set the rule with you, in writing, before launch. Flat diagnostic fees, service call charges and published minimums are fine to state out loud, because they are the same for everybody. Anything that depends on what the technician finds gets an honest answer instead: that number comes after somebody looks at it, here is what the visit costs, here is the next window. The agent never improvises a figure. If it has no number it is allowed to give, it says so and books the appointment where the real number gets made.

Why is a handoff to a human a feature and not a failure?

Nobody should sell you an assistant that refuses to let go of a call. What matters is not how much the agent handles on its own, it is how cleanly it gets out of the way when it should.

Escalation is built in on purpose. A caller who asks for a person gets one. A caller who is angry, or whose situation sounds like a safety issue, gets moved along without a fight. A question it has no answer for becomes a flagged record with the transcript attached, so whoever calls back already knows the story.

That is the honest version of this technology. It is very good at the first ninety seconds of a call that would otherwise have gone unanswered, and like any system it will still get things wrong sometimes. It is not a replacement for you, and anyone saying otherwise is selling something they cannot deliver.

What happens after hours, or when calls pile up?

Your published hours are Monday through Saturday, nine to eight, and plenty of buying decisions get made outside them. A furnace that quits at ten on a Friday night. A chimney a homeowner decides to have swept before the holidays, thought about at seven on a Sunday. Those calls either get caught or they go to whoever answers first.

Then there are the days when everything lands at once. First real cold snap of the season and the phone rings while you are already on it. An AI receptionist does not queue. Every caller is picked up on the same ring, asked the same questions and offered the same calendar. That day stops being the day you lose work you never knew about, and starts being the day your schedule fills itself.

Are my calls recorded, and what do I tell callers?

Take this part seriously, because Florida does. Florida is a two party consent state for call recording, so recording a conversation without the consent of everyone on it is not something to be casual about. Call recording and disclosure requirements are configured per client and confirmed with you before launch. That is not a line buried in a contract, it is a working session held before your number points at the agent.

We also recommend the agent tell callers plainly that they are speaking with an automated assistant. Some vendors treat that as a weakness to engineer around. It is not. A homeowner told up front who then gets a fast, useful conversation walks away impressed. One who works it out halfway through feels tricked, and that feeling attaches to your company name, not ours.

How does this fit with everything else you already run?

The receptionist is one part of a machine, not a gadget bolted to the side of your business. Everything it captures lands in WeekendCRM, our white labelled build of GoHighLevel, where your pipeline, your follow up and your customer history already live. From there lead engagement keeps working the people who did not book on the first pass. Your managed business phones and your CRM are the same system, not three vendors pointing at each other.

That whole machine is The Full Stack, at $4,995 a month on a twelve month agreement that renews for a further twelve months. We onboard two new clients a month, deliberately, because this only works when Shawn is inside your business rather than managing a queue of accounts. That means there is usually a waitlist. See how the pieces fit on our services page.

Who is building this for you?

Legacy Sales Engineering is Derrick Ventures LLC, run by Shawn Derrick out of Hawthorne, near Ocala, in North Central Florida, with clients across the United States. Twenty five years in sales sits behind every question the agent asks. They are not generic. They are the questions that have been closing work in the field for a quarter of a century.

We work with HVAC, chimney, flooring, gutter, power washing and commercial cleaning companies, and the trades next to them. Always Fire and Gas, formerly Always A Sweep, came to us and we handled their complete rebrand. Our mission is three words long. Stop Selling. Start Solving. An AI receptionist that interrogates a caller would break that on the first call, which is why ours understands the problem first and talks about the truck second.

What do contractors ask before they let an AI answer the phone?

Will my customers know they are talking to a robot?

We recommend the agent state clearly at the start of the call that it is an automated assistant, and most of our contractors do exactly that. It is not a human being and we will not pretend otherwise. The honesty helps you, because callers judge the conversation on whether it was useful.

What happens if the AI cannot answer a question?

It says it does not know rather than guessing. From there it either moves the caller to a person or takes the details and flags the record for a call back. The transcript goes onto the customer record in WeekendCRM, and recurring gaps get fixed in the next tuning pass.

Does it book jobs on my calendar?

Yes. It offers real availability from the calendar in WeekendCRM and books the appointment during the call or the chat. The booking, the answers and the conversation all attach to the same customer record, so nothing gets retyped later.

Is it recording my calls?

That depends on how we configure it with you. Florida is a two party consent state for call recording, so recording and disclosure requirements are set per client and confirmed before launch. We walk through the options and your obligations rather than switching anything on by default. Nothing is recorded without your say so.

Will it stop my phone from ringing through to me?

Only if that is what you want. Some contractors have the agent answer everything and hand off on request. Others have it pick up only after a set number of rings, or only outside working hours. You decide where the line sits.

Do I need the whole Full Stack to get an AI receptionist?

The receptionist is built to run inside The Full Stack, which is $4,995 a month on a twelve month agreement that renews for a further twelve months. Because we onboard two new clients a month there is usually a waitlist. Talk to us and we will tell you honestly where you stand.

What does the next cold snap look like at your company?

There are two versions of that week. In the first, the phone rings twenty times in a day, you catch six, and you never find out what the other fourteen wanted or who did their work. In the second, all twenty are answered on the first ring, asked the right questions and put on your schedule with a written record attached, and you spend the week working instead of chasing the phone.

The difference is not luck and it is not more hours. It is who answers. Call (352) 612-3327 Monday through Saturday, nine to eight, email service@liftinglegacies.com, or book a time with Shawn and we will walk through what your phone is costing you right now and what it would take to fix it.
